timr provides the advanced feature "Status", which allows you to protect entries of being changed afterwards and in addition, to use them for your accounting process. You have the possibility to set the status of your entries to "Changeable", "Locked", "Cleared" or "Closed".
1. Who can set the status?
When you want to edit a status, it depends on the authorization, in how far the status can be changed.
-Employees: An employee can only indicate whether the item is "Changeable" or "Locked". If the status is once set to "Locked", the employee can not undo this setting.
-Administrator: An admin can define if the individual, several or all records of an employee are "Changeable", "Locked", "Cleared" or "Closed". If the Administrator has determined a status for an entry, the employee can't change this anymore. The admin can change again any made decision.
2. Status Overview
2.1. Changeable
The initial status setting is "Changeable" and is indicated by an open lock symbol. Changeable means that you can still change an entry. Often, all entries of an employee of one week will only be processed at the end of the week. You can also immediately process the status of a single, multiple or all entries.
2.2. Status Locked
If the employee or the admin set the status of an entry to "Locked", this entry can't be changed anymore. For example, the recorded working and project times can't no longer be edited. We recommend to let an employee lock the entries, which are ready for further processing (billing for the customer, etc.). Entries which are locked are marked with a lock symbol.
2.3. Status Cleared
When the status of an entry is set to "Cleared"it means that the entry is completed and an invoice was sent to the customer. This status shows to your company that the project was already cleared, but for example you've not yet received the amount. If an entry has been set to "Cleared" an icon with a dollar sign in a letter is shown.
2.4. Status Closed
If an entry (working time, project time, drivelog) is finished and there are no more further steps to make, you can set the entry to "Closed". An archive icon indicates that this record doesn't require further processing.
3. Change status
You can change the status of each single entry (working time, project time or mileage log). In order to do this, go to the edit symbol next to the entry concerned. There you can change the status according to your needs.
4. Bulk operations
As a further possibility to edit the recording status, there are the bulk operations. You can select multiple entries and simply mark them with a tick. If you click "Selected records" you can select the desired option. You also have the option to delete selected entries.
5. Filter options
You can display all your entries of an arbitrary "time period" (marker 1) by the property of their status. Select the desired "Status" (marker 2) of the entries and click on "Filter" (marker 3). Now you see only those entries which have this status. If you click on "Print / Export" (marker 4) and choose an export format, only the filtered entries appear in this document.
