The Presence Board is an overview of all employees including their current status. This means you can see whether an employee is currently active, on vacation today, etc. The attendance board can be shared with all employees or all team members (Enterprise Plan).
1. Configuration
Open the "Administration/Settings" menu and select the "Reports" tab.
At the bottom right you will see the "Presence Board" area.
You can use "Show for" to specify whether and for which user group the Presence Board should be visible. The statuses of the individual employees are displayed anonymously as "Present", "Home Office", "Away", "Inactive" or "Not yet active" (details in point 2).
Show for:
- Don't show: The presence board is inactive and is not displayed for any employee
- Team members: All employees can see their team members in the presence board (Enterprise Plan)
- All employees: All employees see all employees in the attendance board
Using the "Show Project Time" setting, you can configure whether the project for which the employee is currently logged in should also be displayed in addition to the attendance.
Save changes using the "Save" button at the top right.
2. What is displayed on the Presence Board
If you have made the attendance board visible as per 1. Configuration, it will appear under "Reports/Presence Board".
Marker 1: In the upper area of the Presence Board you can see all employees who are present or should be present according to the working time model
Marker 2: The current status of the employee is displayed. The status depends on the subcategory of the working time with which the employee is currently logged in.
The following statuses are possible for active employees:
- Present
- Work from home
- Away
- Inactive: The employee was already booked in that day but is currently booked out. Employees who are currently booked in for a paid absence (e.g. doctor's visit) are also displayed as Inactive.
- Not active yet: The employee has not yet been booked in today.
Marker 3: The employee's team/organisation is also displayed (Enterprise Plan)
Marker 4: Under "Absent today" you can see all employees who are absent that day. For employees who do not have a working day that day, the working days are displayed. For employees who are sick or on vacation, the next working day is displayed anonymously.
Marker 5: If the attendance board is configured with "All employees", you can choose here whether you only want to see your team or all employees.
Note: If you switch to "Team", all members and team leader(s) will be displayed here even if they have not been configured as members in the organisation.
Marker 6: If you have activated "Show project time" under 1, the project currently booked is also displayed.
Please note:
The Presence Board is not a valid attendance list in the event of building evacuations or for other health and safety regulations.
The Presence Board therefore does not replace any measures that must be taken in the event of building evacuations or other health and safety regulations.
