3. How settings affect time tracking for the Team Leader
1. Settings
The “Recording time” setting is a very important option for you as an entrepreneur.
Here you can specify whether your employees can change the recording time themselves (for example, if a job takes longer or the employee forgets to press pause) or whether only administrators or team leaders (in the Enterprise plan) can change it. This setting is set separately for working time, project time and mileage log.
Each change is visualized by the pencil symbol: It is not possible to change an entry without receiving a note. Further information on change tracking can be found here.
Note: We recommend setting “Recording time” = “Can be changed by user” for at least the first 2 weeks. During this time, employees can get used to time recording with timr. Especially at the beginning, it sometimes happens that an employee only realizes at 8:30 a.m. that he did not press “Start” when he arrived at 8. He can correct this himself and is not dependent on the help of someone else.
1.1. Changeable by User
With this setting, users can change their own time entries independently and add or delete times.
1.2. Changeably by User within x days
With the setting “Modifiable by user up to x days”, you allow users to change or add their working times as normal within a certain number of days that you specify under “Days”.
If users want to change or add times outside this framework, you can allow this by showing a warning, or you can generally prevent editing.
Note: 1 day refers to one calendar day. So if you enter 1 day, users can edit or add entries from the previous day regardless of the current time.
With the “Show warning” setting, the following warning is generated if the change is outside the time period:

1.3. Changeable by Team Leader (Enterprise Plan)
This option is only available in the Enterprise Plan. Team leaders can change, add or delete times for employees assigned to them. If the team leader himself is created as a member of his team, he can also edit his own entries. Further information can be found here.
1.4. Changeable by Administrator
With this setting, only administrators can edit the entries of employees, provided no individual restriction has been set for specific administrators.
2. Individual User Rights
By default, a user can
- only record time for themselves
- only view their own times
- not perform any administrative tasks
However, you can grant individual users individual permissions.
To do this, go to “Administration/Users” -> “Edit User” and the “Rights” tab.
Marker 1: You can change the settings for the working time as well as for the project time and the logbook.
- Standard: The settings remain as defined in the general settings
- Changeable
- Not changeable
Marker 2: You can also change the settings for recording in the app.
- Standard: The settings remain as defined in the general settings
- Yes: Recording is permitted via the app
- No: Recording is not permitted via the app
Note: The individual setting overwrites the global setting.

3. How settings affect time tracking for the team leader
Team leaders can record time for employees; depending on the settings in the authorizations, this affects the team leader's own time recording.
3.1 Own recorded times may be edited, but not start/stop

3.3 Own time may not be edited
First, the employee must have the team leader authorization. To do this, the corresponding assignment must have been made via Administration/Organization. See "Assign and Authorize Leader“.
The users for whom the team leader can change and view entries are defined in the organization.
3.1 Own records may be edited, but not start/stop (direct time recording)
To do this, the recording time must be set to “changeable by Team Leader” under Administration/Settings. Please note that this setting can be made separately for working time, project time and drive log.
In the Administration/Organization, the team leader is a member of their own team. They therefore have a dual role, both as a team leader and as a member. This means that the team leader can edit entries for themselves. However, they cannot edit Start/Stop for their own instant records because, as a member of their own team, they have been restricted by the “changeable by team leader” setting.
They receive their own absence requests in their role as team leader and can therefore approve them for themselves.
3.2 Own times incl. start/stop (instant time recording) may be edited
In the Administration/Settings menu, the recording time is set to “Changeable by user”. This means that every employee can edit their own entries.
The team leader can therefore edit their own times and also edit the start/stop times in instant time recording.
They receive their own absence requests in their role as team leader and can also approve them for themselves.
3.3 Team Leader may not edit own times, only those of employees
If the team leader should only be allowed to edit the entries of his employees, but not his own entries, the following settings are necessary.
In Administration/Settings, the recording time must be set as “changeable by Team Leader”.
To prevent the team leader from editing their own entries, they have to be removed as a member of the organization so that they are no longer their own team leader. With this setting, they can no longer approve absence requests for themselves.
(Currently it is possible to open the editing window of own entries with these settings, but the options for editing are not available.)
Note: If a task has been assigned to a team (and not a user) and only assigned tasks are displayed, the team leader cannot book these tasks if they have been removed as a member of the organization.
