Sometimes it happens that someone forgets to stop their time tracking. To avoid this, you can set up an automatic email reminder that is sent at a defined time. The reminder asks whether the time tracking is still running intentionally or was accidentally left active. You can find more information on that here.
If the employee is no longer available, for example due to vacation or sick leave, you as an admin can either set a company-wide rule that automatically stops running bookings by a certain time, or stop the running records manually.

1. Automatically stop running records at a defined time
With this function, you can define a specific time after which all running bookings are automatically stopped.
The duration of the entry is set to 0 minutes, and a check is automatically created so that the correct end time can be entered later.
1.1. Configuration
To activate this feature, go to Administration / Settings / General.
In the General section, you will find the setting "Automatically stop running working and project times by".
Once you enable this option, you can define the time at which the automatic stop should take place.
1.2. Editing the entry
If a working timr or project time is still running at that defined time, it will automatically be stopped.
The end time will be set to the start time, the duration will therefore be 0 minutes, and the following validation will be generated:
You can directly edit the entry from the validation and correct the end time.
Note: Even if you have configured, for example, notes as mandatory for stopping project times, the booking will still be stopped automatically.
The only exception applies to custom fields in the recording: if a mandatory field has not yet been filled in, the time will continue running and must be stopped manually as described in section 2.
2. Manually delete a running record
Alternatively, as an admin, you can manually delete running bookings for your employees.
Go to Reports / User Dashboard and scroll down to the section Currently Active – Work Time, Currently Active – Project Time, or Currently Active – Drive Log.
Here you can see all running bookings, including details such as work time type, notes (if available), location (if available), start time, and duration.
Click on the three blue lines next to the booking you want to delete and then select Delete running Working Time.
The booking will then be deleted, and you can enter the correct time afterwards under Reports / Work Time.
