Depending on the configuration, managers are authorized to view and edit employee times, add times for their employees and approve requests (e.g. vacations). The authorizations are dependent on assignments to an organization.
Read how to create an organization here.
2.1. Authorize to view and evaluate times
2.2 Authorization for absence release
1. Assign Leader
To assign a leader, open the Administration/Organization menu item and select the organization you want to edit and click on "Edit Element".
Open the "Leaders" window and click "Assign Leader" to assign a department manager, division manager, etc.
The list of your employees opens. You select one ore more leader(s) from the "Selection" area using the plus button (2). You will then see the selection on the left in the "Assigned" area (1). With "Finish assignment" (3) and "Save", the selection made is saved.
To remove a leader, select the button with the minus sign (2) next to the name.
1.1 Implicit assignment of Leaders
If a leader is assigned in the 1st level, the permissions automatically inherit to the lower levels.
Marker: You see the implicitly assigned leader in gray. So this leader was assigned as a leader in a higher level.
1.2 Explicit assignment of Leaders
For an explicit assignment the leader must appear 2 times in the list.
To do this, you select the team leader again from the employee list to make an explicit assignment. You can recognize an explicit assignment by the black font (Marker 2).
2. Authorizations for Leaders
2.1 Authorization to view and evaluate times
Leaders are authorized to view and evaluate the times of employees in their team.
See also: Reporting as a leader.
2.2 Edit times
Depending on the permissions, team leaders can edit the times of their employees.
If only selected team leaders are to be authorized to edit times, the "Changeable by Administrator" authorization is activated under "Administration/Settings". The individual team leader authorization then takes place under "Administration/User" in the respective user account under "Rights".
2.3 Authorize to approve absences
Leaders can approve the absence requests of members of their team.
If a leader is assigned, he is automatically a member of the organization. This means he can also approve his own absence requests. If this is not desired, he can be removed from the member list by clicking on the "minus" next to his name.
2.3.1 Notification when a request is made - Explicit Leader
Explicitly assigned leaders will receive an email notification when an application has been submitted. They can then either release the application via the link in the e-mail message or directly via "Requests/Request Approval".
2.3.2 No notification when application is submitted - Implicit leader
If the leader has been assigned in a higher level, it is an implicit leader.
He can approve absence requests from employees in lower levels using the request function under "Requests/Request Approval", but he will not receive any e-mail notification.
For example, if a team has only one implicitly assigned leader from the 1st level in the 2nd level and you want this leader to receive the requests by e-mail, he must be explicitly assigned (see point 1).
As a leader/manager, you can add working time, project time or drive log entries for employees and also enter or cancel leave for employees.
You can find out how to approve vacations via in the request function here: Approve or reject vacation or other absences.
